You can run all Booking.com guest messaging without a PMS or a channel manager. You answer guests in the Extranet inbox or the free Pulse app, and alerts arrive by e-mail at the addresses you set under Contacts. The thread stays open until seven days after check-out, and the reply score only counts the first 24 hours.

What do you need to handle Booking.com guests without a channel manager?

Three things: an Extranet login, the Pulse app on your phone and a mailbox that receives Booking's notifications. A channel manager or PMS adds calendar and price sync between sites and puts messages inside its own software, but it is not needed to talk to guests.

If you do use a connectivity provider, check who owns messaging. The Extranet's Connection management page shows functions run by the provider in green. Green means you set it up in the provider's software; anything else is set up in the Extranet. The phone number change is covered in our piece on guest phone numbers.

How does the Extranet inbox work?

The Inbox tab has three parts. Reservation messages holds the threads with guests who have booked. Booking.com messages is your correspondence with Booking about the property, invoices and account. Guest Q&A holds questions from people who have not booked yet, and your answers are shown publicly on your property page. That last one is where pre-booking questions go, so answer them as carefully as a listing description.

Replying to a guest, step by step:

  1. Sign in to the Extranet.
  2. Click Inbox, then Reservation messages.
  3. Choose the message, write a reply or pick a template.
  4. Click Send.

You can reach the same thread from the booking: Reservations, the guest's name, the "Conversation with guest" section. The "Show phone number" button is there too, for users with permission to view guest contact details.

The limits worth knowing:

  • You can write from the moment of booking until seven days after check-out or cancellation.
  • You can reply for 14 days after a guest's message.
  • You can read for a year after check-out. Messages cannot be deleted.
  • The reply score counts only the first 24 hours. It is the share of guest messages from the last 30 days you answered within that time; details in our reply score explainer.

Attachments: images go through the chat; PDFs and QR codes do not. Links work until you switch on the approved-links list; after that any link not on the list reaches the guest as "[Link was removed]".

How do you route reservation and message notifications to your mailbox?

In two places: the type and channel under Notification settings, the recipient under Contacts. Booking always confirms each reservation by e-mail and in Pulse.

  1. Extranet, Account, Notification settings. For new guest messages choose Yes; in the drop-down, set when and how you want them. Arrival e-mails and texts for last-minute bookings are on the same page. Click Save.
  2. User account icon, Contacts, the "Add contacts by topic" tab. Under Reservations, click Add contact and enter the address that should get reservation matters.
  3. Check the Primary contact topic. Booking shares this person's contact details with guests in their booking confirmation. Use the address and number you want guests to see, not your personal ones.
  4. Give the other topics (Essential communications, Contracts, Invoices, Property performance and growth) to someone who reads them. Commission invoices must be paid within 14 days of being generated, so the invoice mailbox cannot be a dead one.

Only a user with admin rights can edit contacts. Once a year Booking shows a banner asking you to confirm the details.

Can you reply to guests by e-mail, outside the Extranet?

Yes, through the alias. Booking does not share private e-mail addresses: you and the guest only see an anonymous alias ending in @guest.booking.com or @partner.booking.com. An e-mail sent to the reservation's alias reaches the guest. It is also how you send images and PDFs, such as house rules or a PDF map.

There is one catch. In the Extranet, under Property, Messaging preferences, Security settings (after two-factor authentication), an admin can keep a list of approved e-mail addresses or whole domains. If the list exists, a message from an address outside it will not reach the guest. The "Block all email communication" toggle blocks everything, including the approved addresses. Before you reply from a new mailbox, add it there.

What we could not find on Booking.com's pages: an explicit statement that an e-mail sent to the alias shows up in the Extranet chat. Booking says so about automatic replies (the guest gets them by e-mail and sees them in the chat) and says nothing either way about replies sent from your own mailbox. If a complete history in one place matters to you, test it on one booking before switching over.

What can you do in the Pulse app?

Pulse is the Extranet on your phone: free, in 44 languages, for Android and iOS. You sign in with your Extranet credentials. On a new phone you pick your number from a list and receive a code by text or call.

In Pulse you can:

  • reply to guests: Bookings, the guest, Messages, Send,
  • create templates and automatic replies: More, Messaging preferences,
  • share your location and images in the thread,
  • mark no-shows and update availability and rates,
  • switch properties if you run several under one account,
  • translate a message by pressing and holding it and choosing Translate.

Booking says on its Pulse page that guests who get faster responses tend to cancel less and leave better reviews. Airbnb data points the same way: according to Intellihost (November 2023, over 5,000 Airbnb listings, not Booking.com), hosts replying within an hour converted at 1 percent against 0.8 percent for slower hosts.

If your Extranet runs in English, you also get Smart Messenger, which Booking announced in October 2025 for partners in the US, the UK, Australia and New Zealand and anyone using English as their preferred language. It suggests what to send and when. Auto-Reply, which lets you define your own reply topics, is available everywhere.

The first 30 minutes: a setup checklist for a property with no PMS

  1. Install Pulse, sign in, keep push notifications on.
  2. Account, Notification settings: new guest messages set to Yes, by e-mail and in the app.
  3. Contacts: the Reservations topic on a mailbox you read daily; the Primary contact on a business address.
  4. Security settings: add the addresses you reply from, and your website's domain to the approved links.
  5. Messaging preferences, Message templates: directions, parking, check-in time, house rules. Use the same template name for every language version so Booking matches the guest's language.
  6. Template scheduler: a confirmation on booking, instructions one day before arrival, a review request one day before departure.
  7. Automatic replies: check-in, check-out, parking, pets.
  8. A second user with reservation permissions, for when you are away.

Booking says over 30 percent of partner responses are already automatic replies. Steps 5 to 7 are that part.

Where Supalobby fits

Supalobby uses the same building blocks, with no channel manager or PMS. In the Extranet you point notifications at the mailbox connected to Supalobby; reservations and messages arrive in one inbox alongside WhatsApp, Instagram and e-mail, and replies go back through Booking.com's relay into the thread the guest sees in the app. The agent answers in the guest's language; from a sample of 434 conversations in September 2026 the median reply time was 3.6 seconds. What it does not do: change your Extranet settings, set prices or manage your calendar. On Airbnb it only drafts the reply, which you send yourself.

Frequently asked questions

Do I need a channel manager to message Booking.com guests?

No. Every guest message can be read and answered in the Extranet under Inbox, Reservation messages, or in the free Pulse app. Templates, the scheduler and automatic replies live in the Extranet too. A channel manager earns its keep by syncing calendars and prices across several sites, not by handling messages.

Where does Booking.com send reservation and message notifications?

To the contacts set in the Extranet: user account icon, Contacts, the Reservations topic. The notification types and channels are chosen under Account, Notification settings. Check the Primary contact topic carefully: Booking shares that person's details with guests in the booking confirmation, so use a business address and number there.

Can I reply to a Booking.com guest from my normal e-mail?

Yes, by writing to the reservation's anonymous alias ending in @guest.booking.com, which forwards to the guest. If your Security settings hold a list of approved e-mail addresses, anything sent from an address outside the list will not reach the guest. The alias is also the way to send PDFs, which the Extranet chat refuses.

How long can I message a Booking.com guest?
