Booking.com has auto-replies and „Help me reply”. Why would you need an AI agent?

Booking.com gives you templates, a scheduler, topic auto-replies, Auto-Reply and „Help me reply” for free. What each one does, where each one stops, and when a paid AI agent changes anything, with a worked time calculation.

For questions that fit a ticked topic and a ready template you do not need an agent. Booking says over 30 percent of partner responses are already automatic replies, at no cost. An agent matters for the rest: questions that depend on this particular reservation, at 23:40, in German, on WhatsApp and Airbnb at the same time.

Below I take each Booking tool apart by what it does and where its words come from, show the four places where the tools stop, give a decision table for common situations, a time calculation, and two replies to the same guest message, one from the automaton and one from an agent. Booking's pages were checked on 26 September 2026.

Booking adds three figures: over 30 percent of all partner responses are automatic replies, around half of manual responses use templates, and over 25 percent of partner-initiated messages come from the scheduler. And one warning from its own guide for new partners: templates save time, but „guests value personal connection".

Where Booking.com's tools stop

In four places, and all four are visible in Booking's own descriptions.

  1. They know the topic, not the reservation. An automatic reply fires when a request hits a ticked topic. It does not check whether someone checks out that day, whether the garage has a height limit, or whether the guest mentioned a dog three messages ago. Booking describes two baskets, within policy and outside policy. Most guest questions sit in a third one: „it depends".
  2. Help me reply needs you at the screen. Booking's instruction: „Review the suggested message carefully. You can edit the message and, if you agree, send it to the guest." A suggestion for a 23:40 message goes out at 8:00, when you open the Inbox. Smart Messenger, the tool that would act on its own, exists only in the markets listed above.
  3. One channel. Booking's tools see the Booking thread and nothing else. The same guest on WhatsApp once they share a number, another guest on Airbnb, an Instagram enquiry about a free weekend: separate inboxes, separate templates, separate answers.
  4. Languages and time. A template exists in as many languages as you write; without a version in the guest's language Booking sends the default. Translation of incoming messages covers nine languages, but it is a click on „Show translation" per message. The writing window closes seven days after checkout, and a guest message gives you 14 days to reply.

What an agent does that the automaton cannot

An agent reads the message, not the topic. By agent I mean a system that receives the guest's full text, the reservation data and a knowledge base about the property, and then writes the reply. Everything else follows from that:

  • it answers three questions in one message, including the one that has no topic,
  • it knows the reservation: dates, party size, the previous and next stay, if it can see the calendar or PMS,
  • it knows the property from a knowledge base you write once: 2.0 m garage door, washing machine in the bathroom, lockbox code,
  • it writes in the guest's language without a template per language,
  • it keeps one thread per guest regardless of channel,
  • it knows when it does not know, and hands the thread to you instead of guessing.

What an agent will not do. Date changes and „Cancel for less" requests must be handled in the Extranet, Booking says so even to connectivity partners. It cannot bypass the approved-links list, the no-PDF rule in the chat, or the rule that communication stays on the platform. It cannot fix a wrong knowledge base: type in the wrong code and it sends the wrong code. It does not clean.

How much it takes over. Hotel Technology News wrote in July 2025 about agents „capable of handling 70–90% of routine inquiries without human intervention"; Aeve claims in January 2026 that it „handles 70 to 90 per cent of guest messages". These are industry and vendor claims, not a measurement at your property. The share rises with the quality of the knowledge base and calendar access, and falls when guests mostly write about complaints and refunds.

How much time does an agent actually save

Assume one apartment and 60 guest messages a month; that is an assumption for the sum, not a statistic. If your Booking tools hit Booking's average, the automaton handles 18 and 42 are left to you. Three minutes each to read, open the Extranet and answer comes to about two hours, most of it in the evening and at weekends, because that is when guests write.

With an agent that closes half of the conversations on its own (more cautious than the claimed 70 to 90 percent), 30 threads reach you, some as drafts to approve, some as hand-overs. A minute each is half an hour. The difference is roughly an hour and a half a month. What that costs depends on the vendor. HostBuddy's tiers are $7, $10 and $12 per property per month and it works through a PMS, according to BNBCalc's review updated 28 August 2026 (checked 26 September 2026; HostBuddy's own pricing page would not load for us). The Autopilot plan described in the last section is 49 zł net per unit, about 11 euro. With three units the hours multiply and the per-unit price does not grow.

More important than the hours is the clock. The automaton and the agent answer at 23:40. Help me reply and you answer at 8:00. Booking states that guests who get quick answers are less likely to cancel.

What does a failing auto-reply look like next to an agent's reply

The guest writes on Saturday at 21:05:

Hi, could we check out at 13:00 on Sunday? Our train is not until 15:20. Thanks, Martha

The automatic reply for the topic „checkout time", within the property's policy (late checkout until 13:00 for 15 euro):

Thank you for your message. Late checkout until 13:00 is available for a fee of 15 euro. See you soon.

Except that on Sunday the next guests arrive at 15:00 and cleaning takes two and a half hours. The automaton sold an hour that did not exist. The cleaner finds out at 13:00, the next guests at 15:00.

The reply from an agent that can see the calendar and the knowledge base:

Hi Martha, we have another arrival at 15:00 on Sunday, so 13:00 will not work. I can offer checkout by 12:00 at no charge, and you can leave the suitcases in the ground-floor storage cupboard (code 2231#) until 15:00. Café Rondo, 200 m from the gate, has a cloakroom and is open until 18:00. Does that work? If you would prefer something else, I will pass the question to the host.

The automaton knew the rule. The agent knew the rule, the next reservation, the cleaning time and the cupboard. You can type the rule into the Extranet. You cannot type in the rest.

Where Supalobby fits

Frequently asked questions

Are Booking.com's automatic replies free?

Yes. Message templates, the template scheduler, topic-based automatic replies, Auto-Reply with your own topics and Help me reply are part of the Extranet and the Pulse app at no charge beyond your commission. They sit under the Property tab, Messaging Preferences. Booking says over 30 percent of partner responses already come from automatic replies.

What is the difference between Auto-Reply and the older automatic replies?

The older automatic replies work on topics from Booking's list, split into requests within your policy and outside it. Auto-Reply, announced on 9 October 2025, lets you define custom reply topics and, in Booking's words, learns from interactions. Both are sent by Booking and both live only in the Booking thread. We found no separate help article for Auto-Reply on 26 September 2026.

Does Help me reply send messages on its own?

No. It is a suggestion inside the chat window in the Extranet Inbox: a template or a free-text reply tailored to the guest's message. Booking asks you to review it carefully, edit if needed and only then send. It works when you are at the Inbox. You switch it on or off with the three dots in the top right corner of the chat window.

Is Smart Messenger available to me?

According to the 9 October 2025 announcement, Smart Messenger went to partners based in the US, UK, New Zealand and Australia and to anyone who has English as the preferred language in the Extranet. By that announcement, a property elsewhere with a local-language Extranet did not get it. Auto-Reply is global. We found nothing on Booking's pages about a wider rollout.

How many guest questions will an AI agent take over instead of the automaton?

It depends on the knowledge base you give it. Industry and vendor claims say 70 to 90 percent of routine inquiries (Hotel Technology News, July 2025; Aeve, January 2026), but those are claims, not a measurement at your property. Booking's own tools account for over 30 percent of partner responses. Ask any vendor for the measured share of autonomous replies and how many threads it hands back.
